Invoicing Feature Guide

The Invoicing feature allows you to create, send, and track invoices directly from your dashboard. You can customize your invoice template, automate payment reminders, integrate with your CRM, and monitor payment statuses - all in one place.


Getting Started: Customize Your Invoice Template

Before sending your first invoice, set up a template so your business details are automatically included every time.

To access the template editor:

  1. Navigate to Invoicing.

  2. Click Templates.

Automatic Payment Reminders

You can configure automated reminders for unpaid invoices. Reminders can be sent:

  • Before the due date

  • On the due date

  • After the due date

Reminders continue until the invoice is paid or reminders are manually stopped.

Preview and Save

As you make changes, a live preview updates in real time, showing the invoice layout, the buyer's payment view, and the email notification the buyer will receive.

When finished, click Save Template. Your settings will apply to all future invoices automatically.


Understanding the Invoice Dashboard

Once you've set up your template, the Invoices dashboard is your central hub for monitoring activity. Summary cards at the top of the page give you a quick overview:

  • Total Invoices – The total value and count of all invoices created

  • Paid – Invoices that have been successfully paid

  • Outstanding – Invoices sent but still awaiting payment

  • Overdue – Invoices that have passed their due date without payment

These cards update automatically as invoices are created and completed.


Creating an Invoice

Step 1: Start the Invoice

  1. Go to Invoices.

  2. Click Create Invoice.

Your saved template details will be pre-filled automatically.

Step 2: Add a Buyer

  • Enter the buyer's name or email address and click Add Buyer.

  • Optionally, add additional recipients using CC or BCC.

Tip: Save frequently billed customers in the Buyers tab so you don't have to re-enter their details each time.

Step 3: Add Line Items

For each item, enter a name and price. You can add multiple line items, and the invoice total updates automatically.

Example:

  • Consulting Services — $500

  • Additional Service — $40

Tip: Save commonly billed products or services in the Items tab with preset prices for faster invoice creation.

Step 4: Apply a Discount (Optional)

Apply a percentage or fixed discount if needed. The total will adjust automatically.

Step 6: Send the Invoice

Click Send Invoice. The buyer will receive an email containing a secure payment link. You can monitor the invoice status from the dashboard immediately after sending.


Managing Invoices

Select any invoice from the dashboard to view its full details and payment record. From there, you can take the following actions:

Create a new invoice using the same details

Mark as Paid

Record a payment made outside the platform (e.g., cash or check)

Cancel the invoice if it is no longer valid


Tracking Invoice Statuses

Each invoice is assigned a status that updates automatically based on buyer activity.

Created but not yet sent

Sent / Pending

Sent and awaiting payment

Outstanding

Unpaid but not yet past the due date

Overdue

Past the due date without payment

Paid

Successfully completed

Voided / Cancelled

No longer active

Use the filter options on the dashboard to sort invoices by status — helpful for following up on unpaid invoices or reviewing completed payments at scale.


Connecting Your CRM

The Integrations section lets you connect your invoicing workflow with supported CRM platforms or automation tools. Once connected, you can trigger invoice creation directly from your CRM or automate workflows using the API.


Troubleshooting

The buyer didn't receive the invoice email. Use Resend Invoice from the invoice details page. You can also use Copy Payment Link to share the payment link through another channel.

A payment was made outside the platform. Open the invoice and click Mark as Paid to manually update its status.

An invoice was sent in error. Open the invoice and select Void / Cancel to deactivate it and prevent further payment attempts.

Invoice details need to change after sending. Use the Edit action from the invoice details page. Note that editing a sent invoice may require resending it to the buyer.


Best Practices

  • Upload a logo and set a brand color for a more professional appearance.

  • Define clear payment terms to avoid confusion over due dates.

  • Enable automatic reminders to reduce manual follow-ups on unpaid invoices.

  • Save your most common buyers and line items to speed up invoice creation.

  • Regularly review Outstanding and Overdue invoices to stay on top of collections.
