Welcome to the Webinar Presenter FAQ. This guide answers common questions for Hosts, Co-Hosts, and Producers about running a live webinar, managing the broadcast, presenting offers, and handling common situations during the event.
Roles and Permissions
What is the difference between Host, Co-Host, and Producer?
Host: full control over the webinar. Starts and ends the broadcast, manages all settings, triggers offers, controls recording, and views analytics. There is one Host per webinar.
Co-Host: presents alongside the Host with camera, microphone, and screen sharing. Can participate in all engagement features but does not have full administrative control.
Producer: works behind the scenes. Manages technical settings and supports the Host without appearing “on stage.”
How do I get added as a presenter?
The webinar creator adds you by email during the Roles step of webinar setup
You will receive an invitation with access to the webinar room
Each presenter email must be unique per webinar
Before the Webinar
How do I prepare for the broadcast?
When you enter the host room, a technical / device check lets you select and preview your camera and microphone before going live
Verify your camera, microphone, and screen sharing are working
Confirm your internet connection is stable: a minimum of 5 Mbps upload is recommended for presenters
Review the engagement plan: which polls, offers, and files are configured and when they should be triggered
Note: the device check is for presenters (host, co-host). Regular attendees join the room directly without a device check.
Can I set up a waiting room for early arrivals?
Yes. The Host can configure a waiting room video that plays while attendees wait for the session to start
This is a good place for a teaser, agenda overview, or promotional content
Going Live
How do I start the broadcast?
The Host starts the broadcast from the webinar room controls
Co-Hosts and Producers do not need to take any action: they are connected once the Host starts
What controls do I have during the broadcast?
Microphone: mute/unmute
Camera: turn on/off
Screen sharing: share your screen, a specific window, or a browser tab
Fullscreen: expand the broadcast view
Webcam position is configurable (top-left, top-right, bottom-left, bottom-right) and webcam size can be set to small, medium, or large
Can I see how many people are watching?
Yes. A participant count is displayed in the webinar room, along with a session timer showing how long the broadcast has been running
Engagement During the Broadcast
How do I trigger a poll?
Go to the Polls panel in the webinar room
Select the poll you want to launch and activate it
The poll will appear for all attendees as a modal or sidebar card
Results update in real time as attendees vote
You can end and restart polls as needed
How do I trigger an offer?
Timed offers fire automatically at the timestamps configured during setup: no action needed
Live triggered offers can be fired manually from the Offers panel at any time during the broadcast. A highlight animation will draw attendee attention.
End offers can be configured to appear at the close of the webinar
When triggered, an embedded checkout opens directly inside the webinar room for the attendee: no redirect to an external page. Payment is processed through your connected payment provider.
How do I share a file during the webinar?
Go to the Files panel in the webinar room
Upload a file or select a pre-uploaded file
Click Publish to make it available to attendees
You can unpublish files at any time
Download counts are tracked per file
How do I manage chat?
Monitor the chat panel for audience messages
Pin important messages as sticky announcements
Ban disruptive attendees from chat, or disable chat entirely if needed
Assign a Moderator to handle chat so you can focus on presenting
Speaker Requests
What if an attendee wants to speak?
Attendees can request to join as a speaker during the live webinar
You will see the request in the Speakers panel
You can accept (they join with audio/video), deny, or cancel the request
Once a speaker is active, you can mute them or end their participation at any time
Recording
How do I record the webinar?
The Host can start recording from the webinar room controls
Recording can be paused, resumed, and stopped during the session
Recordings are stored with the webinar and can be played back from the dashboard
Recordings can also be reused as the video source for a Pre-Recorded webinar
Offers and Revenue
How do I know if attendees are purchasing?
If social proof notifications are enabled, purchase activity (“Jane from Austin just purchased!”) is displayed in the webinar room
Purchases can also be broadcast in chat
Revenue and purchase counts are available in the Analytics dashboard after the session
Can I see revenue by offer?
Yes. Purchases are recorded as offer transactions, so you can see sales attributed to each offer, along with the UTM data carried over from registration.
Handling Problems During the Broadcast
My video or audio is lagging.
Check your internet speed: 5 Mbps upload minimum is recommended
Close other applications consuming bandwidth
If the problem persists, switch to audio-only temporarily by turning off your camera
An attendee is being disruptive.
A Moderator (or Host) can mute the attendee, ban them from chat, or block them from the webinar entirely
These actions are available from the Attendee Management panel
I am having a major technical failure during a live webinar.
Refresh the room: live video runs on adaptive bitrate streaming and will reconnect automatically
The session stays active for attendees while you reconnect; rejoin from the same room link
A Co-Host can keep presenting while you re-establish your connection
Confirm a stable upload connection (5 Mbps minimum recommended)
Can I hand off the presentation to a Co-Host?
Co-Hosts have their own camera, microphone, and screen sharing controls
The Host can stop sharing their screen and the Co-Host can start sharing theirs
There is no formal “hand off” button: both presenters manage their own controls independently
After the Webinar
What analytics are available after the event?
The Analytics dashboard tracks:
Registrations and attendees
Revenue and purchases, attributed per offer
Chat activity and poll responses
Attendee lists can be exported as CSV; poll and survey results have dedicated dashboards
Can I send follow-up messages to attendees?
Yes. Replay reminders can be sent via email or SMS with a link to the recording
Notifications are sent through your own SMTP (email) and Twilio (SMS) credentials, so sender reputation stays under your control
